Virtual events: our top 3 formats you should try

Virtual events are more popular than ever—and for good reason. No long and tiring travel, no expensive venue costs, no chatty neighbours, and no health risks. Online formats spare you all that. With our new virtual event platform and its many interactive features, you can host a wide range of events easily and conveniently online. Need inspiration? We’ve gathered our top three formats that are regularly used at movingimage—and that you should definitely try, too.

Joint reviews

What campaigns is Marketing working on? What new features are the developers planning? Which hot leads is the Sales team chasing right now? It’s always helpful when departments regularly share updates on their ongoing projects. A joint review is the perfect format for this.

At movingimage, teams work in two-week sprints. At the end of each sprint, one person presents the team’s results on behalf of the group. The meeting takes place on the main stage of the virtual events platform and is moderated by a colleague. Each team gets five minutes to present their updates briefly and clearly—ideally in a way that even non-experts can easily understand. Visuals such as presentation slides are welcome, but keeping to the time limit is essential so the meeting stays focused and doesn’t get lost in detail.

The audience can respond in real time using quick reactions—for example, by clicking a thumbs-up or sending floating hearts. There’s also a chat function available during the presentations for comments and discussion. After the joint review, presenters can move into dedicated breakout rooms set up in advance for each department. If attendees have additional questions, they can join the speakers in the virtual rooms for a deeper conversation.

Hackathons

Hackathons are events where software or hardware is developed collaboratively within a limited time frame. At movingimage, software developers and product managers come together twice a year for a virtual, one-day hackathon to work on exciting projects—and ultimately compete for the coveted “Hackathon Trophy.”

In the lead-up to the event, participants have a few weeks to collect and submit project ideas. Breakout rooms are then created on the virtual events platform for each final idea, and the schedule is outlined in the “Agenda” section. The event kicks off on the main stage, where all projects are introduced and key logistics are explained. Participants then choose a topic and join the relevant breakout rooms to begin working as a team.

Over the course of just a few hours, the teams work intensively to bring their projects to life before the clock runs out. A pop-up alert informs everyone when it’s time to wrap up and return to the main stage. There, the teams pitch their results one by one to a panel of judges and to colleagues who didn’t participate in the hackathon. Attendees can vote for their favourite project in the platform’s poll section.

The jury then retreats to a breakout room to deliberate. Finally, during a celebratory closing ceremony on the main stage, the winning team is announced—and the “Hackathon Trophy” is awarded virtually.

Workshops

Cross-departmental workshops and discussion rounds are a great way to strengthen the sense of unity within a company. That’s why movingimage regularly hosts workshops on a variety of topics where employees are encouraged to contribute voluntarily. What values are essential for a positive work environment? How can sustainability be more firmly established within the company? There are countless use cases where employee ideas and perspectives can be meaningfully incorporated.

While most workshops are initiated by the HR department, any team within the company can organize a discussion round. To ensure maximum value, workshops should be well planned and structured in advance. The event typically begins with a clear and engaging introduction to the topic on the main stage. After that, the goals of the session are defined. Participants are then divided into small groups and sent to breakout rooms to discuss, share experiences, and exchange perspectives.

It’s helpful to assign a moderator to each room to guide the conversations and capture key takeaways on integrated whiteboards. After a set amount of time, a pop-up brings the groups back to the main stage, where the results of the discussions are shared with the rest of the participants. The workshop hosts can then collect all insights and incorporate the suggestions into the company’s broader culture and initiatives.
